My School or Business has never ordered from Deans Art

If your school or business has never ordered from Deans Art but would like to take advantage of our discounted education pricing and 30 day price terms please fill in the form below. Our team will be in touch once your account is approved.

Please allow time to process your application and for our team to check your financial records. If you have an urgent order you can pay upfront whilst your application is processing, please contact our Preston Office for assistance. 

New business customers will need to pre-pay three orders before goods will be dispatched and can then can request to be moved to a 30 day account. 

New Education customers will have 14 day account payment terms applied to their first three orders, once payments are received they will be moved to a 30 day account. 

If you do not require an Education Account or Business 30 Day Account please shop as normal online, just add items to your cart and process with prefered payment method, no need to apply for an account. 

My School or Business Regularly Places Orders with Deans Art 

From Term 4 2023 we're implementing a new online ordering system! If your school or business regularly places orders with Deans Art and would like to order using the new online system please fill in the online form.

You'll be able to shop online, view online order invoices and also see what's instock in almost real time.

If you do not require an Education Account or Business 30 Day Account please shop as normal just add items to your cart and process with prefered payment method, no need to apply for an account. 

Haven't Placed an order with Deans Art for a few years?

During Covid our team worked hard to clear up our database. If your organisation has not placed an order in the last 3 years or has previously had invoices issued under MISC accounts (#5482 etc) then you will need to fill in an application form

How to Place an Order With Deans Art

We're happy to assist with all your Classroom, Studio and Business needs. With a dedicated School and Accounts Division as well as centrally located Melbourne stores it's now easier than ever to purchase art supplies for your company. 

Submit Your Purchase Orders

If you have an online account and would like Deans Art to enter your order please send a copy of your purchase order to sales@deansart.com.au. Our team will be happy to assist. 

If you are ordering online and your account requires purchase order numbers please fill in the purchase order area in the final checkout page. It can be found after the shipping options. 

It is the responsibility of the customer to provide correct purchase order numbers at the time of order. Late or failure to pay invoices as a result of incorrect purchase order numbers may result in the delay of exisiting orders or cancellation of accounts access across all related accounts until payment is made. 

Please note if you still use FAX to send orders, this can be unreliable and we do not recommended sending orders this way.

If you do send a fax, we strongly recommend following up after sending to ensure your order has been received by our office. We suggest scanning the order and sending with this follow up email as a precaution. 

Sending orders via email is prefered as we have your contact details and it's accessible to staff in our office or WFH. Staff will always confirm receipt of your purchase order via email. If you do not hear from us within 2 business days it's always a good idea to send a follow up email. 

You can also call our office team Monday to Friday 9am to 5pm and speak with our sales team to place a phone order. We're happy to assist with ordering over the phone or if you have any stock related enquiries. 

Pre-order, Backorder & Out of Stock Items

PRE-ORDER ITEMS

Preorder items may be stock we don't keep in our retail locations, special order items like parts or large/bulky studio items. 

All invoices containing Pre-Order items are subject to 14 day payment terms from date of issue.

If an item requires pre-order you'll find a note on the description just above the Product SKU code. 

Pre-Orders online may have open ended pre-order times to allow for easy customer ordering but can take up to 4 - 6 weeks to receive stock. If you require items by a specific timeframe please contact our Preston office before placing an order and we'll do our best to assist with your enquiry. 

Orders containing Pre-Order items will be held until all stock arrives, we recommend placing a seperate order if you require other items sent earlier. 

All goods in our catalogue and online are subject to availability at the time of placing your order. If the item you have pre-ordered is out of stock with our suppliers, we will not place the item on backorder. 

We will do our best to provide a new timeframe for delivery and you will be responsible for placing another order at that time, as at this stage some items take a few weeks or months to return to stock. 

Minimum order totals may apply for certain pre-order products not kept instore, we may also require a deposit, upfront payment at the time of ordering our team will be in touch if this affects your order. 

BACK ORDER ITEMS

Please mark on your order that you wish for goods not supplied to be placed on backorder, or notify our schools sales team on (03) 9485 9500 (Option 1 Preston Office) or via sales@deansart.com.au

When an item is out of stock we'll do our best to list on the product page if there are due dates or when the next shipment might be expected. Most (not all) items will allow you to put in a restock request online. Click the NOTIFY ME button on the product page:

Please note this will help our purchasing team gauge interest in an out of stock product, however it may still take some time for an item to return to stock. If you need an item urgently it's still best to get in touch with us to ensure you receive the item in time. 

Bulky and large items, dangerous goods and regional or interstate deliveries will incur additional postage costs for backorder items.

OUT OF STOCK ITEMS 

All goods in our catalogue and online are subject to availability at the time of placing your order.

Sometimes it also takes time for our team to unpack orders and upload the stock online. If you find an item is out of stock online or there is no availability update, or the date listed online has passed for your item please contact our School Sales Team and they will do their best to provide an estimate or further updates. 

Online you can find listed on most products a instock or out of stock message as well as any related timeframes underneath, an example is listed below. 

I would like to order an item not listed online? 

Please reach out to our School Sales Team and we'll do our best to find your product or offer a suitable alternative. To make the process easier please ensure you include detailed descriptions, brands or include a photo if you can and any product codes listed on the item.

Wishlists, Quotes and Orders

You can create Wishlists, Quotes and Orders online, these lists make ordering regular items easy. 

WISHLISTS

Wishlists are great for saving items you always need, creating specific lists for classes or choosing your favourite items. 

QUOTES

Quotes are a handy way of ordering online or checking item costs. Depending on your account approval you may only be cleared to create quotes which are then approved by your accounts team. Prices on quotes are valid for 7 days. Due to the number of quotes we receive stock is not automatically held by the system or set aside by staff. It is the responsibility of the customer or their accounts team to approve the order online or contact Deans Art as soon as they are ready to proceed with the order. 

Stock will not be held for quotes unless we're advised otherwise, should stock sell out in the time it takes between approving the quote and picking your order we'll do our best to provide substitutes or backorder the items. 

Quotes are created using items instock online at the time of ordering, if you need items showing out of stock please get in touch with our schools sales team and they'll be happy to adjust your quote or include missing items. 

Create a quote by adding items to your cart, then view your cart online. It will take you to the shopping cart area and in the top right hand corner select the CREATE QUOTE FROM CART button. You'll need to enter your contact details before the cart can be approved. 

ORDERS

Orders can be viewed online when you log into your online account. 

You'll notice your orders listed as PICK, PACK, DISPATCH and PENDING PICKUP or rarely CANCELLED or ON HOLD. 

When orders are in the PICK stage this means they've been received by our warehouse team. Order picking and packing can take 2 - 4 business days, so please allow time for our team to review your items and collect the stock from our stores or warehouse. 

During busy times such as beginning of school terms, Christmas holidays and following public holiday's additional packing times apply. We thank you for your patience as our team works through your orders. 

Once orders are picked, the stock is set aside and they move to the PACK stage. Our warehouse team pack your order with care and ensure it is ready for dispatch. 

Orders are marked as DISPATCH once they've left our warehouse. You can view your invoice online, and will receive tracking details for Australia Post, Startrack or Toll Group deliveries. When CIVIC or Deans Art's Inhouse courier is used tracking updates are not available as they are usually same or next day dispatch. 

Please note Australia Post, Star Track, Toll Group and Civic couriers DO NOT call when they arrive. It is up to the customer to ensure there is easy access for delivery partners. If you have selected Instore Click & Collect your item will be marked as PENDING PICKUP from our PRESTON STORE location unless otherwise advised. You will be notified it's ready for collection via email or phone. Once collected our team will mark your order as dispatched. 

Orders marked CANCELLED mean they were not dispatched and the goods were not supplied. If your order is listed as ON HOLD it means our team are making changes to the order either at your request or to shipping options etc. 

If your order is listed as a quote you'll need to reach out to our sales team or your accountant for approval (depending on the level of approval applied when your online account was created)

Rewards Points

Please note reward points are not offered to account holders who receive discounted pricing or use 30 day payment options. 

Shipping

If you are trying to order Dangerous, Flammable or Age Restricted Items for delivery online please add Education Shipping Quote to your order. This will notify our staff you require shipping, not instore collection for these items. 

After adding shipping to your order, please finalise and process as normal. Once added your invoice should look a little like the below image. 

Although Click and Collect is still showing, staff in the office and warehouse will adjust your order to include dangerous goods freight and notify you of the final shipping cost and order total. 

Some restrictions may still apply for interstate or orders containing large amounts of flammable or dangerous materials. Please reach out to our School Sales Team if you're located outside of Victoria before placing your order and we'll be happy to assist and provide alternative shipping options. 

Occasionally shipping might be higher or lower than anticipated. Our team will be in touch to confirm pricing if there's any unexpected fees. 

If you've received an incredibly large shipping quote online, please use the above freight out code and select CLICK & COLLECT shipping, our team will be in touch with an updated quote. 

Education Kits 

Deans Art has worked with schools and businesses for many years to create school kits for purchase by their students or customers. If you would like a kit quote with competitive pricing please email your product list, class size and start dates to our School Sales Team and we'll be happy to provide a quote. 

Students who need to purchase exisiting kits can find these listed online throughout the year. If you kit is not listed online please get in touch with the course coordinator listed on your form or our School Sales Team for more information.

Custom Visual Diary Printing

We are the visual diary customising specialists with our printing partners we now offer custom screen printing with a range of coloured ink and cover options to make your school or college stand out from the rest.

Reach out to your school sales representative or our School Sales Team to discuss pricing. Printing can take 4 - 6 weeks so please place orders as soon as required for timely delivery.
